Overview

A fantastic opportunity to join the team on a family run estate situated in East Northamptonshire.

Reporting to both the owner and land agent, the successful candidate would be responsible for the day to day management and maintenance of the Estate’s let residential and commercial portfolio, including all aspects of the landlord and tenant operations and provision of inspection, reporting and project management services in relation to the Estate’s built environment.

To manage the portfolio effectively and maximise value and profitability, whilst maintaining the heritage and tradition of the Estate.

The role requires a proactive individual with a strong background in property management, financial responsibility, and a strong understanding of how to maintain both modern and historic buildings.

Tasks & Responsibilities

Property Lettings

 To work with the Estates Administrator to ensure an up-to-date property management system is maintained.

 To liaise with the Estates Administration Manager to minimise voids and to ensure that all necessary repairs to the let and in hand portfolios are actioned in a timely manner.

 To ensure industry benchmarking is used for progress analysis.

 Prepare rent review recommendations, and to undertake rent reviews in relation to the let residential and commercial portfolio

 To coordinate with the Estate Administrator and outside consultants in relation to the marketing of all properties for letting.

 To coordinate with the Estate Administrator for the preparation of new residential tenancy agreements and to draft and execute all short term commercial leases.

Property Maintenance

 Oversight of the Property Maintenance Team through the Estate Foreman, including approval of any appointment of contractors on individual repairs and/or refurbishment projects.

 To prepare and oversee an annual maintenance plan including agreed capital projects and preventive maintenance, and to undertake periodic reviews to ensure all relevant property actions are brought forward on a timely basis

 To undertake bi-annual property inspections of all residential & commercial properties and more regularly where needed for any vacant properties.

 To ensure that all properties comply with the statutory regulations and consents relevant and liaise with the Estate administrator accordingly.

 To prepare an annual building maintenance budget for approval, liaising with the Estates Land Agent

 Reconciling/commenting on the financial performance of the budget against actual on a quarterly basis and ensuring cost control is exercised whenever possible.

 To ensure that the properties are maintained in accordance with current minimum energy standards and to prepare a strategy to conform with future legislation and the potential application of new technologies.

 To supervise and manage the existing Landmark Key Prime property maintenance system, which is operated by the Estate Administrator and Estate Foreman.

 To appoint when necessary specialists to advise on certain areas of responsibility; e.g. Structural Engineers, Cost Consultants, Heritage Surveyors

 To be responsible for effective management of maintenance and refurbishment projects from inception through to completion ensuring delivery within budget, programme and quality standards.

 To work in consultation with the Estate owners and Property Maintenance Team to maintain, upgrade, and develop the Grade 1 principal house.

 To keep up to date with developments in the building and project management industry and apply these to the portfolio management.

Health and Safety

 To work with the Estates Health and Safety Consultant and the Estate Administrator to ensure safe methods of working for all activities and ensure all work complies with health and safety legislation including CDM regulations

 To take outside advice, and ensure that necessary risk assessments are assessed, maintained and adhered to.

 To ensure all relevant staff and contractors are aware of the Health & Safety Policy and promote its adherence, interacting with staff to monitor, record and react as appropriate.

 To monitor the need for relevant staff training and liaise with the Estate Administrator where necessary.

 To ensure that best practice is followed with regards to other compliance issues to include waste disposal, pollution control and electrical safety.

Financial

 To work with the Accounts Manager and Estate Administrator to ensure that rents are demanded and collected when due. Monitor debtors and ensure that a robust system is in place to follow up any late payments.

 To authorise all suppliers’ invoices and ensure that details are accurately posted into the financial accounts package.

 Prepare and manage budgets for property operations and maintenance

 To comment on monthly management reports, giving reasons for any deviations from the agreed budget or policy and circulate reports as required.

 To keep such records as are necessary to maintain good financial control.

 Conduct financial analysis to identify cost-saving opportunities and improve profitability

Other

 To liaise with the operational heads of the Farm, House & Gardens, and other Estate business units in relation to their maintenance requirements of properties under their own respective supervision.

 To be available out of hours on-call in the event of an emergency

 To comply with the data protection policy and follow the procedures and guidelines in place.

Requirements

 Proven experience in property management, with a focus on residential and commercial properties.

 A good understanding of property maintenance procedures and practices.

 A detailed knowledge of landlord & tenant legislation for both residential & commercial property.

 Excellent financial management skills, including budgeting, financial reporting, and cost analysis.

 Excellent problem-solving skills and the ability to work independently.

 Knowledgeable on Health and Safety guidelines.

 Good communication skills, with the ability to interact with tenants and colleagues in a professional and friendly manner.

 Valid driver’s licence and willingness to travel to various property locations

 Flexibility and a strong “can do” attitude.
