Annual salary: £24,000 to £27,000 depending upon experience

JOB PURPOSE
As a Compliance Officer, you will be responsible for checking the accuracy and efficient management of learner data, compliance with ESFA (Education and Skills Funding Agency) regulations, and supporting internal audits and reviews.
Your role will be pivotal in ensuring that all learner and financial data submitted is in line with funding body requirements, ensuring funding is maximised, and ensuring that our company adheres to all relevant compliance standards.
You will work closely with colleagues across the organisation, including the management team, to support delivery and maintain high standards of performance.
MAIN DUTIES AND RESPONSIBILITIES
Compliance Monitoring
- Monitor adherence check on learner records to funding eligibility criteria and ensure that the funding claims process is carried out efficiently.
- Work closely with internal teams to identify and resolve any compliance issues, such as learner eligibility, delivery evidence, or documentation gaps.
- Advise and support internal staff on funding rules and compliance requirements.
- Monthly input and update learner data into the ESFA Provider Data Self-Assessment Tool System (PDSATS) tool to ensure accurate reporting and self-assessment of apprenticeship delivery and funding compliance.
- Use PDSATS to check and validate apprenticeship funding claims, ensuring they are accurate, complete, and meet all ESFA requirements, adding annotations to the PDSATS report of any rational for the data shown or corrective action taken in if noncompliance is identified.
- Assist with audits, reviews, and inspections (internal and external), including preparing data and documentation for compliance reviews.
Internal Audit Support
- Assist with the preparation of internal audits and audits by funding bodies.
- Ensure that all learner documentation, evidence, and enrolment details meet the requirements set out by the ESFA.
- Support the continuous improvement of internal audit processes and assist in implementing any corrective actions where necessary.
Reporting & Analysis
- Produce regular reports on learner progress, funding utilisation, and performance against ESFA targets.
- Provide accurate data analysis to inform decision-making and strategic planning.
- Support in the production of accurate data returns (e.g., ILR, Funding Claims) and help drive the completion of government funding targets.
Policy & Procedure Development
- Contribute to the creation and updating of compliance policies and procedures to ensure ongoing compliance with ESFA regulations.
- Stay updated on changes to government funding rules, apprenticeship funding, and other training-related policies.
- Ensure that best practices are followed to maintain funding compliance.
Training & Support
- Provide training and support to staff in relation to compliance, funding rules, and the use of the MIS system.
- Deliver relevant training for new staff or to address changes in funding rules or procedures.
Supporting Data Processing
Supporting MIS team during high submission periods with the entering, updating, and maintaining our learner records at all stages of the learner journey.
- Ensure accurate and timely data entry into the MIS systems for apprenticeships and skills bootcamps.
- Provide reports to the senior management team on learner progress, funding claims, and other key performance indicators.
- Generate and submit monthly, Quarterly, and annual data returns for the ESFA, ensuring compliance with all deadlines.
- Responsibility for processing learner changes, tutor allocations and employer updates.
- Supporting with the administration of learners programmes.
- Maintaining or update our End Point Assessment learner data.
- Processing the timely registration of learners with the awarding organizations and End point assessment organisations.
QUALIFICATIONS AND/OR EXPERIENCE REQUIRED
Experience
Experience of data entry on a MIS system or prior experience using PDSATS software - essential
Knowledge and experience in administering apprenticeships - desirable
Working knowledge of apprenticeships, ASF and Skills bootcamp funding rules - desirable
Experience in a similar role in the independent training sector - essential
