Receptionist & Facilities Coordinator Apprenticeship
Location: Leeds (Fully based at Leeds Kirkstall Forge)
Department: People & Facilities Team
Role Type: Administrative & Front of House

Working Hours: Monday - Friday, 38.75 hours per week, between 8:45am - 5:30pm Duration: 15-18 months

We have an exciting opportunity for someone to kickstart their career in Facilities Management here at Zenith.

What will the apprentice be doing?

As a Facilities Co-Ordinator Apprentice, you will assist the Facilities Team with the following responsibilities:

  • Facilities Management:
  •  * Support the Facilities Manager in managing day-to-day facilities operations, including maintenance, security, and safety.
    
  • Handle email inbox management, responding to facilities queries and requests.
  • Coordinate parking and electric vehicle charging, order stationery, and manage consumables.
  • Oversee furniture management, audits, and locker allocation.
  • Liaise with contractors and landlords, ensuring smooth operations.
  • Help maintain the Reception & Facilities intranet pages.
  • Health & Safety Support:
  •  * Carry out DSE & Maternity assessments and update the DSE equipment asset register.
    
  • Conduct site walkarounds and H&S checks, ensuring compliance with safety protocols.
  • Maintain records of First Aider and Fire Warden training, accidents, and incidents.
  • Provide First Aid and Fire Warden support (training provided).
  • Front of House & Reception Support:
  •  * Provide reception cover, ensuring visitors feel welcomed and supported.
    
  • Manage meeting room preparation, catering, security passes, and the switchboard.
  • Assist with incoming and outgoing post and other ad hoc tasks.

Training and Qualifications you will gain:

  • Level 2 Facilities Services Operative
  • Fire Warden
  • First Aider
  • DSE Assessor

Career Progression:

Potential for a full-time permanent opportunity and continuous training through a variety of routes, for example Level 3 Facilities Management Supervisor.

During the apprenticeship, you will work closely with the Faciltiies Manager and gain insights into the following areas:

  • Manage property and fixed assets; implementing building maintenance plans; monitor and control premises; optimize the use of space; manage small projects.
  • Establish and manage day-to-day relationships with clients and colleagues to agreed quality standards; recommend improvements to the quality of FM service provision.

Essential Skills & Experience

  •  * Strong communication skills, with the ability to engage effectively face-to-face, by phone, email, or Teams.
    
  • Proven administrative experience with excellent attention to detail.
  • Ability to prioritise tasks and manage multiple responsibilities effectively.
  • Ability to work independently and manage your own workload.

Qualifications:

  • GCSE or equivalent in English & Maths (Grade C/4) essential.
