Job Title: Fuel Depot Manager
Who we are:
Oilfast is the fastest growing fuel distributor in Scotland. In 11 years, we have grown to a level where we have 10 depots across the UK (mostly in Scotland). We run a large fleet of tankers and flatbeds delivering kerosene, HVO, red & white diesels, lubricants, Licenced AdBlue®, LPG and bunded fuel tanks out of these depots. We deliver to a range of domestic, agricultural, commercial, industrial, and marine customers.

Job Summary:
The Fuel Depot Manager is responsible for the management and coordination of all fuel-related activities within the depot, including the safe receipt, storage, sales and distribution of fuel and fuel related products. This role involves overseeing the operations of the depot, maintaining compliance with safety and environmental regulations, managing a team of employees, ensuring customer satisfaction, and optimizing operational efficiency.
Key Responsibilities:
- Operational Management:
- Supervise and manage the daily operations of the fuel depot, including fueling, storage, and distribution processes.
- Monitor fuel inventory levels to ensure an adequate supply of fuel.
- Ensure timely and accurate delivery of fuel to customers while maintaining operational schedules.
- Safety and Compliance:
- Enforce strict adherence to safety procedures and regulations to prevent accidents, spills, or fire hazards.
- Maintain compliance with all relevant environmental, health, safety, and regulatory guidelines
- Conduct regular safety audits, risk assessments, for potential accidents or emergencies.
- Team Management:
- Supervise and train staff, ensuring they are well-versed in safe fuel handling practices and depot operations.
- Set performance goals for depot staff and evaluate performance regularly.
- Provide leadership and foster a collaborative work environment to ensure staff productivity and morale.
- Inventory and Stock Management:
- Monitor fuel stock levels and manage supply chain logistics to ensure consistent and efficient fuel distribution.
- Keep accurate records of inventory, including quantities, deliveries, and fuel usage.
- Work with procurement teams to ensure inventory is replenished on time and optimize stock management.
- Customer Service:
- Serve as the primary point of contact for customer enquiries, issues, and complaints.
- Ensure that customers receive high-quality service and timely fuel deliveries.
- Regular communication with customers is required over email, face to face and over the phone
- Resolve any issues or discrepancies related to fuel deliveries, billing, or quality.
- Budgeting and Cost Management:
- Develop and manage the fuel depot’s budget, ensuring efficient use of resources.
- Identify cost-saving opportunities while maintaining high safety and operational standards.
- Ensure the depot is sales focused, liaise with the sales team to drive sales forward.
- Equipment Maintenance:
- Oversee the maintenance and repair of fueling equipment, pumps, and storage tanks.
- Ensure that equipment is in good working condition and compliant with regulations.
- Coordinate with contractors and vendors for necessary repairs or upgrades.
- Liaise with Transport team to ensure vehicles are maintained
- Reporting and Documentation:
- Maintain accurate records related to fuel transactions, safety inspections, compliance documentation, and inventory logs.
- Prepare and submit regular reports to upper management regarding depot performance, inventory levels, and any operational challenges.
Required Skills and Qualifications:
- Experience:
- Proven experience (typically 5+ years) in managing fuel operations, preferably in a depot, refinery, or distribution environment.
- Strong knowledge of safety standards, environmental regulations, and industry best practices.
- Skills:
- Leadership and team management skills.
- Strong problem-solving and decision-making abilities.
- Excellent organizational and communication skills.
- Proficiency in fuel management software and inventory systems (desirable but not essential)
- Knowledge of fuel-related equipment and machinery.
- Knowledge of the Oban area would be beneficial
