1. Purpose of Job
To provide an efficient and customer-focused Human Resources administration service to all staff and customers of the College.
2. Principle Accountabilities
a) To always work in a professional and customer-focused manner maintaining confidentiality and actively contributing to the development of the HR function.
b) Prepare job advertisements/announcements ensuring they are checked by a senior colleague and to ensure copies of all adverts are circulated.
c) To check post, answer phone messages and general HR email accounts responding to requests and sending out applications packs as required and ensuring requests are processed in a timely manner.
d) To organise files for all applications received and to organise shortlisting and interview panels for vacancies.
e) Ensure all documentation is forwarded to panel members and reception, this includes booking rooms, presentation equipment, test materials, refreshments and lunch for candidates and ensuring all concerned are informed of prepared interview schedule.
f) Following interviews ensure all documentation is collated and send offer letter and contract to successful candidates. Write to unsuccessful candidates offering feedback through designated HR panel member.
g) Ensure safe recruitment of new staff ensuring all references, medical clearance, qualification and ID checks and DBS checks are completed for new staff alerting senior colleagues to problems regarding missing information.
h) To complete administrative tasks associated with a significant project regarding student trips and visits
i) Liaise with HR Officer/Adviser to ensure department information systems, stationery orders and general administrative tasks are completed.
j) Ensure all staff are issued with an ID badge and IT logon.
k) Provide reports as required for managers e.g. Recruitment spreadsheet, E&D recruitment statistics.
l) To provide support and cover for HR colleagues as required.
m) To continually develop personal skills and knowledge as appropriate for College business.
n) To support College Health and Safety and Equal Opportunities policies as required.
o) To perform such other duties commensurate with the grade of the post as required by your Line Manager.
