Greatbase Apartments offers best quality Edinburgh holiday apartments, luxury self-catering apartments and holiday accommodation in Edinburgh city centre, Old Town and New Town. We are looking for a Property Administrator to join our team. The successful candidate will be responsible for providing administrative and operational support to maintain Greatbase’s property portfolio, including handling incoming guest enquiries and being the on-call member of staff during the day to assist guests with all requests. This role is integral to the smooth running of our operations and would be a perfect opportunity for a recent graduate or someone interested in a job in the property management industry to gain more experience in a fast-paced setting.
You will play a vital role in providing a wonderful holiday experience for our guests. Your attention to detail and commitment to excellence will contribute to the overall satisfaction of our guests and company’s brand.
Job role
To provide administrative and operational support to the team, handle incoming guest and landlords enquiries.
Ensure landlords and guests receive high levels of customer care, including efficient management of maintenance issues.
Ensure consistent operational standards when it comes to cleanliness, maintenance, service delivery and guest check-in.
Monitor and report any maintenance issues with the maintenance team and ensure appropriate action is taken.
Assist guests before, during and after their stay via booking platform messaging portals, email and over the phone.
Manage complaints or feedback around housekeeping standards and oversee the issue until we reach a satisfactory outcome. Respond to negative guest reviews.
Input new bookings onto CRM system and update bookings with relevant information.
Keep accurate safety records ensuring safety certificates are kept up-to-date / book renewal visits with contractors.
Create and maintain comprehensive property folders, both physical and digital, ensuring all essential documentation is accurately filed and readily accessible.
Prepare and manage property listings, and assist in the development and distribution of marketing materials, ensuring compliance with company policy.
Undertake other ad hoc assignments as required.
Required skills and experience
Essential:
Excellent interpersonal skills – you must be able to communicate effectively with a wide range of people, including guests, contractors and landlords.
Ability to efficiently prioritise and manage a busy workload
Excellent problem solving capabilities
Experience using of Microsoft Office and smart phone / app user
Exceptional customer service skills
Fast learner and able to absorb details quickly
Desirable:
Basic property maintenance knowledge
Previous experience in property letting setting
Experience of using CRM based software programme
Knowledge of using WordPress
Ability to speak another language

Pay: £23,000.00-£25,000.00 per year
