The Role:
We are seeking a Payroll Administrator with strong data analysis skills to join our team. This role will be responsible for processing payroll accurately and efficiently while also supporting compensation and benefits analysis. The ideal candidate will have a keen eye for detail, a strong understanding of UK payroll legislation, and the ability to analyse payroll and benefits data to support business decisions.
As this is a UK-wide position, occasional travel will be required to various locations to support any payroll changes or training.
Main Duties and Responsibilities:
The main duties and responsibilities of the HR Payroll Administrator are outlined as follows:
Payroll Processing & Compliance:
Payroll Administration: Collaborate with the payroll manager in Ireland to ensure accurate and timely payroll processing, including salary adjustments, new hires, terminations, and statutory payments (e.g., SSP, SMP). Respond to payroll queries from employees and resolve any discrepancies.
Processing Weekly/Monthly Payroll: Oversee and manage the timely and accurate processing of payroll on a weekly/monthly basis.
Statutory Deductions: Manage PAYE, National Insurance, pensions, and statutory payments (SSP, SMP, SPP).
Starters and Leavers: Handle starters and leavers in a payroll capacity, including setting up new starters on payroll software and calculating leavers’ holiday entitlements.
HMRC Reporting: Submit RTI reports and process tax code changes.
Payroll Adjustments: Process holidays, SSP, SMP, SPP, etc., and implement payroll changes such as pay increases, overtime, deductions, bonuses, and KPI payments.
Compliance: Ensure payroll compliance with all relevant regulations and legal requirements.
Pension Administration: Manage auto-enrolment and liaise with pension providers.
Employee Support: Address payroll-related queries and resolve discrepancies.
Working Hours Verification: Verify and confirm employees’ working hours to ensure payroll accuracy.
GDPR Compliance: Comply with GDPR rules and regulations in relation to payroll data and information.
Year-End Reporting: Prepare and submit P60s, P11Ds, and other payroll-related reports.
Data Analysis & Reporting:
Payroll Data Insights: Analyse payroll trends, costs, and discrepancies to provide insights to management.
Compensation & Benefits Review: Assist in compiling and analysing employee compensation and benefits data to support business decisions.
Employee Benefits Administration: Administer employee benefits programs, including health insurance, retirement plans, and other perks.
Benchmarking & Market Analysis: Compare salary data against industry standards to ensure competitive compensation packages.
KPI Tracking: Monitor payroll accuracy, efficiency, and compliance performance metrics.
Process Improvement: Identify inefficiencies in payroll processing and recommend improvements based on data analysis.
Systems & Compliance Management:
Payroll Software & Systems: Maintain payroll databases, ensuring data integrity and accuracy.
Compliance Monitoring: Keep up to date with UK payroll legislation, ensuring adherence to legal and regulatory requirements.
Audit Support: Prepare payroll reports for internal audits and financial compliance checks.
Knowledge, Skills, and Experience:
Proven experience as a Payroll Administrator with data analysis experience.
Strong understanding of UK payroll legislation, tax laws, and statutory requirements.
Proficiency in payroll software (e.g., Sage, Xero, ADP, BrightPay).
Advanced Excel skills (pivot tables, VLOOKUPs, data visualization).
Ability to compile and interpret compensation and benefits data.
Strong analytical and problem-solving skills.
Excellent attention to detail and accuracy.
Ability to handle confidential data with discretion.
CIPP (Chartered Institute of Payroll Professionals) certification or working towards it.
Experience in HR analytics or compensation and benefits analysis.
Familiarity with HR and finance reporting tools.
