Overview

A Mixed portfolio of commercial and industrial tenants:

Containers: Industrial Units (steel frame buildings): workshop/office (brick and tile buildings): Open storage areas for a wide variety of uses - caravan/motorhome: used car sales: heavy truck parking/operating base etc.

Over the next two years we plan to double in size - circa 150 tenants.

The ideal candidate will possess strong administrative skills, a keen eye for detail, and the ability to effectively manage tenant relationships. This role requires proficiency in property management software, and a commitment to maintaining high standards of service and operational efficiency.

Current systems will require upgrading, many new systems need to be designed, implemented and managed. Your IT Skills will need to be excellent.

Duties

  • Manage all aspects of commercial property operations, including leasing, tenant inquiries, tenant relations, financial control and assist with maintenance functions.
  • Conduct property inspections and execute necessary repairs and maintenance.
  • Ensure compliance with lease/license agreements and all other legal requirements.
  • Serve as the primary point of contact for tenants, addressing inquiries and resolving issues promptly.
  • Coordinate with maintenance staff, vendors, contractors and service providers to ensure all property needs are met.
  • Implement marketing strategies to attract new tenants and retain existing ones.
  • Prepare and manage budgets, financial reports and forecasts for property owners ensuring financial targets are met.
  • Maintain accurate records through data entry and administrative tasks related to property management.
  • Ensure effective communication with all stakeholders, demonstrating excellent phone etiquette and professionalism in all interactions.
  • Due to expansion - knowledge and experience of managing planning applications and supporting reports and documentation.
  • Execute desktop research into a proposed site - surface water drainage, availability of utilities, access restrictions, current planning status.
  • Design material and specifications research, together with materials purchasing and management of external consultants.
  • Proficient in all office management tasks particularly excel, website management, and social media advertising.
  • Excellent administrative skills to handle documentation, contracts and correspondence.

Qualifications

  • Proven experience in commercial property management or a similar role is preferred.
  • Proficiency in Yardi or similar property management software is essential.
  • Strong administrative skills with attention to detail in data entry tasks.
  • Excellent organisational abilities to manage multiple properties effectively.
  • Exceptional phone etiquette and interpersonal skills for tenant relations.
  • Ability to work independently as well as part of a team in an office environment.
  • A proactive approach to problem-solving and a commitment to delivering outstanding service.
  • Ability to handle money and preparation of invoices
  • Produce and accurately maintain revenue spreadsheets

Site management/monitoring/maintenance

  • Program and manage gate entry system
  • Design and create systems to capture regular and irregular functions
  • Site visits/inspections
  • Welfare cleaning
  • Grounds maintenance, rubbish removal
  • Water treatment plant/pumps
  • Surface water drainage systems/sumps/pumps
  • Electrical inspections
  • Electric sub-meter readings/invoicing
  • Roller shutter door maintenance
  • Security gate maintenance/inspections
  • Security gate entry system/sim contacts
  • Always be prepared to have boots on, assisting/executing cleaning and maintenance functions.
