ROLE OVERVIEW AND PURPOSE
We are looking for an organised and detail-oriented HR Compliance & HRIS Administrator to support our HR Compliance and HR Systems functions. This role plays a key part in ensuring HR processes run smoothly, supporting compliance with UK and Ireland employment legislation, and maintaining HR system data integrity.
You will work closely with the HR Compliance Manager, IT teams, and HR stakeholders, assisting with Right to Work checks, vetting processes, audits, system administration, and reporting. As a super user for our HRIS (Oracle – TMG), you will also provide administrative support, system testing assistance, and user guidance.
This role is ideal for someone who is highly organised, proactive, and eager to develop their HR and systems knowledge, with strong administrative skills and the ability to work effectively in a fast-paced environment.
KEY RESPONSIBILITIES
HR Compliance Support
- Assist with the Right to Work renewal process, including issuing letters, ECSchecks, and Deed Poll verifications.
- Support the management of system access for platforms such as Right to Work, Vetting, and ISIM.
- Monitor and track vetting applications, ensuring compliance within 10 & 12-week timeframes.
- Assist with internal audits, collating necessary documentation to meet compliance requirements.
- Help review and update policies and procedures to align with legislative changes.
HR Systems & Data Administration
- Provide system support and guidance as a super user for Oracle (TMG).
- Monitor and review data quality in TMG, ensuring accuracy and compliance.
- Assist with bulk data uploads for changes to terms and conditions.
- Support system testing for TMG updates, patches, and new implementations.
- Review the TMG dashboard daily, flagging and assisting with resolving system errors.
- Provide basic training and user support to team members for Right to Work, TMG, and Vetting processes.
- Help in designing new process guidelines for HR and systems administration.
HR Administration & Benefits Support
- Assist with the administration of Group Benefit Schemes, liaising with the Company Broker.
- Process and approve requests under the Cycle to Work scheme.
- Assist with Long Service Awards, issuing letters where required.
- Support the BIDs Team by collating and providing data and statistics.
- Ensure HR files and records comply with data retention policies.
- Process purchase orders for HR suppliers and maintain vendor records.
General HR & System Support
- Assist with internal and external audits, ensuring all required documentation is prepared.
- Support general HR compliance and HR system queries.
- Provide holiday cover for the Recruitment Administrator when needed.
REQUIRED SKILLS AND EXPERIENCE
- Previous experience in an HR or administrative role (HR Compliance or HRIS experience is advantageous but not essential).
- Basic knowledge of UK employment law, Right to Work, DBS, and vetting regulations (training will be provided).
- Experience using Oracle (or a similar HR HCM system) is beneficial but not required.
- Strong administrative skills, with the ability to manage data and documentation effectively.
- Intermediate to advanced Microsoft Excel and PowerPoint skills.
- Strong attention to detail, organisational skills, and the ability to work independently.
- Excellent written and verbal communication skills.
- A proactive and problem-solving mindset, with the ability to manage multiple tasks in a fast-paced environment.
