The Role:
We are seeking a highly organised and proactive Business Support Manager to join our team in Taunton. This pivotal role will ensure the smooth running of our office operations and support our growing team. The ideal candidate will have experience in office management, basic bookkeeping, and administration, with excellent attention to detail and a positive, can-do attitude.
The role will also include system design as well as cost estimation to assist in sales proposals and tenders.
Key Responsibilities:
Basic Bookkeeping: Manage day-to-day financial transactions using Sage 50, including invoicing, expense tracking, and reconciliations.
Vehicle Maintenance Logs: Maintain accurate records for the company’s fleet, including servicing schedules, MOTs, and insurance documentation.
Staff Training: Coordinate and book training courses for employees, ensuring all certifications and records are up-to-date.
Office Duties: Oversee general office operations, including supply management, equipment maintenance, and filing system.
System Design: Develop customised solar PV system designs for commercial clients, ensuring optimal performance and compliance with industry standards.
Cost Estimation: Accurately compile and analyse costs associated with system components, installation, and other related expenses to assist in the preparation of competitive quotes.
Sales Proposals and Tenders: Prepare professional and detailed sales proposals, bids, and tender documents tailored to client requirements and project specifications.
Health & Safety Support: Assist with maintaining health and safety records and documentation in line with company policies.
Communication: Act as the central point of contact for office-related enquiries, ensuring efficient communication across the team.
HR Administration: Support HR functions, including managing holiday requests, sickness records, and employee induction and documentation.
Process Improvement: Identify and implement improvements to office systems and processes to increase efficiency.
Ad Hoc Administration: Provide administrative support for other group companies as required.
Office Rates and Utilities: Manage office rates and utility accounts, ensuring timely payments and accurate records.
Operations Support: Assist the operations team with booking accommodation for staff as needed.
Process Improvement: Identify and implement improvements to office systems and processes to increase efficiency.
What We 're Looking For:
- Proven experience in Business Support or a similar role.
- Proficiency in Sage 50 or similar bookkeeping software.
- Strong analytical and mathematical skills
- Excellent organisational and multitasking skills.
- Strong attention to detail and accuracy.
- A professional and approachable manner.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of health and safety practices (desirable but not essential).
