We are looking for a skilled and organised buildings and services manager to help keep Surrey Community Action and the Astolat Charity Hub running smoothly and efficiently.

The role has three main dimensions:

  • To ensure the smooth running of the ‘Astolat’ Charity Hub housing 8 other charities and providing a range of shared facilities and services (50%).
  • To provide administrative support for Surrey Community Action including human resources, administration, housekeeping, office management and IT, including acting as Personal Assistant to the Chief Executive (50%).

We are looking for a colleague who will:

Look after Astolat

  • Take day-to-day ownership of the administration and running of Astolat - to keep it running smoothly and efficiently and make it even smoother and more efficient over time.
  • Be the main point of contact for Astolat tenants, dealing with requests in a timely manner.
  • Ensure the security of the building.
  • Liaise with tradespeople, contractors and others to ensure repairs, renewals and upgrades are managed quickly, efficiently and cost-effectively - and that the same problem doesn’t happen twice.
  • Ensure that high quality office facilities and services, including meeting rooms and communal areas, are available to visitors and the tenants of Astolat.

Looking after Surrey Community Action

  • Deliver (with colleagues) our outsourced Disclosure & Barring checking service.
  • Provide basic HR administration (holidays, flexitime, induction packs etc).
  • Support trustee meetings and committees with various administrative tasks including distributing papers and minute taking.
  • Help arrange staff away days and other staff events.
  • Ensure availability of office and housekeeping supplies.
  • Maintain high quality facilities and services for SCA.
  • Facilitate the Health and Safety Committee for Astolat and Surrey Community Action.
  • Assisting the Chief Executive Officer to manage diary appointments
  • Minute taking for some meetings
  • Administering mailing lists and networking groups

About You

We are looking for a skilled and capable manager, someone who can help make Astolat and Surrey Community Action run as smoothly as possible and provide an excellent service to tenants and visitors.

  • Having considerable experience of managing a building, working with tradespeople and being both a tenant and a landlord.
  • Having considerable administration experience, ideally within the voluntary sector.
  • Being able to work to targets and deadlines with a high degree of autonomy.
  • Being able to plan, balance and manage multiple priorities.
  • Having solid IT skills, including the Microsoft Office suite (but with an IT support company only an email away).
  • Having experience taking minutes and notes at meetings.
  • Being familiar with, or keen to learn, office Health and Safety requirements.
  • Being able to work to an operating budget.
  • Taking the initiative and responsibility for your work.
  • Being flexible and adaptable.
  • Being friendly and approachable, with a desire to provide an excellent service.
  • Knowing when to roll up the sleeves and DIY, and when to call in a pro.

Above all, we are looking for someone with the potential to help keep Astolat a well-oiled machine that is a joy to work in, and make Surrey Community Action a stronger organisation, able to make an even bigger difference to those we support.

The Nuts and Bolts

The role is a permanent contract for 35 hours per week.

Our offices are in Burpham, Surrey, and the role is largely office based.

We are committed to continued professional development and will support you to develop your skills even further.

The role is subject to a satisfactory DBS check.

The salary for this post is £28,000 for a 35-hour week, and we also offer:
