Office Coordinator – Wallingford House, Wallingford. (Part Time)

We are now looking for an Office Coordinator to join our team on a part time basis (20 hours) in Wallingford, Oxfordshire. This is an excellent opportunity for someone who has previously worked in a similar role and is looking to develop
their experience, whilst being a part of an innovative and global organisation.

Responsibilities:

Reception

  • Greet visitors on arrival at Reception and issue visitor’s passes
  • Manage Conference room bookings
  • Organise refreshments for Conference Room meetings if required
  • Answer switchboard calls and forward messages
  • Deal with incoming and outgoing post / deliveries
  • Maintain the postage spreadsheet
  • Organise staff parking permits

General Office Management

  • Maintain ground floor kitchen supplies
  • Wash, dry and change hand and tea towels in all kitchens
  • Order stationery when required
  • Organise any onsite contractor work needed
  • Manage Wallingford House cleaning and liaise with the cleaning company
  • Liaise with the cleaning company for the two Wokingham sites if needed
  • Assist with any office management issues for both Wokingham sites and the Nottingham office as required
  • Issue Wallingford House keys, alarm and door fobs to staff
  • Provide training on locking up procedures

Travel

  • Organise travel arrangements for the Chairman (e.g. flights, hotels, trains,
    taxis and airport parking) and book via our corporate travel agents or directly with suppliers

Health and Safety

  • Carry out weekly fire alarm tests
  • Be responsible for Fire Marshal, Fire Co-ordinator and Site Health & Safety
  • Provide a Health & Safety induction (fire procedure, first aid) to new joiners at Wallingford House
  • Complete Personal Emergency Evacuation Plans (PEEPs) for Wallingford House when required
  • Assist other sites with PEEPs or direct to managed office/client site contacts.
  • Find volunteers and organise Health & Safety training for global sites e.g. First aid, Fire Marshal
  • Organise site risk assessments and liaise with site management companies
  • Organise testing / assessments for UK sites to meet Health & Safety requirements e.g. Portable Appliance Testing, Legionella risk assessments
  • Deal with Display Screen Equipment (DSE)/Workstation assessments sent to the Office management inbox e.g. give advice, order equipment or escalate to line manager.
  • Forward the maternity risk assessment template to Line Managers when required.
  • File completed assessments and diarise review dates. Remind Line Managers when reviews are due.
  • Help create Health & Safety policies, templates and training documents if required
  • Maintain site Health & Safety files on Teams
  • Gather information and maintain the Global Health & Safety information spreadsheet

Requirements

  • Excellent written English and a working knowledge of Microsoft Office
  • Good customer service skills both face to face and over the telephone
  • Good communicator with positive ‘can do attitude’, approachable and confident manner with all colleagues
  • Good attention to detail and organisation skills
  • Can prioritise their own workload
  • Live within commutable distance from Wallingford, Oxfordshire
