We have an exciting opportunity for a Team Administrator to join Norgine.

The person holding this position will report to the Chief Legal Officer and be a member of the Global Legal team.

The core responsibility of the Team Administrator is to provide comprehensive administrative support to the Chief Legal Officer and the other members of the Global Legal Team as required. This will be a permanent role.

KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Take responsibility for managing efficient administrative support and services to the Global Legal Team and provide secretarial services as required.
  • Act as co-ordinator, organiser and secretary of all Global Legal Team meetings and Senior Leadership Team meetings, both onsite and offsite. This includes attending, taking and issuing the minutes in a timely manner and following up on Action Items, and preparing presentation slides in a professional format.
  • Generate KPIs on behalf of the Legal Department by collating and submitting information for:
  • Quarterly KPIs
  • Legal Team Engagement Surveys (Bi-Annually)
  • Customer Satisfaction Surveys (Annually)
  • Core Project Pulse Surveys (where applicable for Projects)
  • Maintain / Update the Legal Project Tracker on a weekly basis including new/completed projects, updating status of projects and ensuring completed projects have the appropriate follow up notes.
  • Request, collate and prepare the Bribery declarations bi-annually on behalf of the ExCo Committee.
  • Request, collate and prepare the Data Retention declarations on an annual basis on behalf of the Chief Legal Officer.
  • Manage the following activities on behalf of the Global Legal Team:
  • Legal subscriptions;
  • Legal Dept SharePoint sites, acting as the “super user” for the Legal Dept
  • Act as Training Coordinator for the Legal Department ensuring all Legal team members are up to date with mandatory training via eLMS / Pyramid
  • Assist with the integration of new employees that join the Legal team.
  • Book appropriate travel and hotel arrangements for the Global Legal Team.
  • Prepare and submit on a monthly basis the Chief Legal Officer’s expenses.
  • Generate accurate typed documents (using Company precedents or templates, where appropriate) including general correspondence, notes or minutes of meetings, presentations and reports.
  • Maintain an accurate and serviceable filing system, both paper and electronic, for legal documents, as required by the Global Legal Department.
  • Provide assistance to Global Legal Department members for scanning, paper and electronic filing and archiving files.
  • Assist with diary arrangements, organise meetings (including arranging AV/teleconferencing), seminars and appointments.
  • Monitor and prepare spread sheet of external legal counsel expenses for various Norgine legal entities.
  • Raise purchase orders for all within the Global Legal Team, monitoring spend, ensuring all invoices received are paid within a timely manner and any suppliers are set up accurately within the E1 system. Maintaining records of all POs, raising blanket orders on an annual basis after review and approval of spend required.
  • Maintain and ensure security of confidential information, documents and files, in both physical and electronic format.
  • Liaise with Facilities to ensure availability of appropriate materials and equipment (e.g. stationery supplies, etc.).
  • Liaise with IT on behalf of the Global Legal Team as and when required.

Requirements

  • Educated to ‘A’ level standard minimum.
  • Copy-typing speed minimum 60 wpm; expert skills in Microsoft Outlook (including mail, contacts, tasks and calendar), Word, Excel and PowerPoint
  • Consistent attention to detail
  • Ability to work as part of a team with strong interpersonal skills
  • Ability to work unsupervised
  • Excellent organisational skills, including timeliness and ability to prioritise workload
  • Excellent communication skills
