Established for 25 years, AR Design Studio is an award-winning, RIBA chartered architectural practice based in Winchester, Hampshire.
The successfully appointed PA/Office Manager will support the smooth running of the studio and its projects, providing both administrative support and personal assistance to the MD.
This is a full time Maternity Cover role for a fixed term.
Duration : Maternity Cover role for a period of approx. 13 months.
Start date: Start of May 2025.
Location : Winchester, Hampshire - it is important that you have a manageable commute to this location. You must be happy to commit to working full time at this location.
Salary : £23,000 - £27,000 level dependent on current experience.
Hours of Work : Monday to Friday 9.00am to 5.30pm
Contracted Hours : 37.5 hours per week
Responsibilities will include, although not limited to:
Managing all the administrative functions and day-to-day activities;
Managing HR matters;
Managing income, invoicing, expenses, budgets and banking;
Liaising with the accountants and other business partners;
Processing timesheets and monitoring profitability and productivity;
Monitoring the business plan;
Implementing, reviewing and promoting the Practice’s policies and procedures;
Managing and reviewing filing and office systems;
Sourcing and ordering stationery and office equipment;
Answering the studio telephone, taking messages and handling queries;
General Office duties, i.e. organising events/Christmas party etc.
Monitoring staff levels in relation to the workload on behalf of Senior Architects;
Preparing fee proposals;
Liaising with project consultants and managing their appointments;
Dealing directly with new and existing client queries
Ensuring that personal matters of the MD are taken care of, i.e, vehicle expenses, travel arrangements etc;
To be considered for this role you will have:
Previous experience in a similar role
Professional manner with a discrete nature and ability to maintain confidentiality at all times
Proficient English language skills are also a must, an excellent and confident telephone manner
Exceptional organisation and communication skills are a must
Proactive and helpful approach to work
Flexibility towards tasks, ability to manage your own time/duties and assess priorities
Attention to detail
IT proficiency with good working knowledge of Microsoft Outlook, Word, Excel
An aptitude for spreadsheets
Experience of Xero accountancy software would be advantageous
Advanced IT knowledge would be considered favourably
