Heatcare Oil and Gas Ltd are specialists in the provision of heating services and all trade reactive repairs across the Northeast of Scotland with a proven track record of success, we are poised for significant growth and are seeking an Office Manager to join our team on a 12 Month FTC.
Please note this is a 12 Month FTC covering maternity leave with the view to being long term.
This is a key role with exposure to leadership that will contribute to the overall success of the organisation.
Accountabilities/Responsibilities:
- Monitoring office staff emails, assisting where required
- Monitoring office staff workload, assisting where required
- Providing additional information requested by Housing Associations (Late Reasons/Outstanding Jobs)
- Vehicle maintenance bookings and management
- Mobile phone set up and maintenance
- Housing portal management and invoicing
- Approving office staff holidays
- Monitoring staff absence and covering where required
- Processing complaint and compliments
- Preparation of wages
- Preparation and distribution of out of hours on call email
- Monitoring jobs requiring Housing Association assistance
- Management of company Gas Safe register
- Monitoring engineer qualifications and training dates
- Arranging engineer and apprentice college courses
- Monitoring and booking vehicle MOT’s
- Analysers maintenance and servicing
- Monitoring engineer Disclosure Scotland applications and expiry dates
- Ordering office stationery
- Ordering office and engineer uniform
- Renewing company and engineer Gas Safe certificates
- Producing yearly out of hours rota
- Producing yearly office late rota
Skills & Experience:
- Proven experience in similar role
- Strong organisation skills.
- Robust Microsoft Excel skills
- Effective communication and interpersonal skills.
- Approachable Manner
- Ability to organise and Manage a team

Pay: £27,000.00-£30,000.00 per year
