We are seeking an Events & Audience Assistant for a fixed-term contract, this individual will play a crucial role in supporting the Event Ops team to deliver seamless, industry leading experiences. You will also be pivotal in ensuring our VIP audience is representative of the most senior business executives in the industry, with a specific focus on the biggest and most influential sports organisations globally.

General Operational Support

  • Provide onsite support for smaller events and forums
  • Assist in travel and accommodation booking for staff and speakers
  • Co-ordinate courier services to transport event supplies to and from events
  • Populate all venue and content PowerPoint slides prior to the events
  • Update security and event support staff briefing documents
  • Update walkthrough slides prior to the events
  • Coordinate delegate visa requirements
  • Help to source and compare prices from suppliers for event related products
  • Research suitable venues for future events
  • Raise POs

VIP Audience Management

Working closely with the Community and Account Manager, you will be responsible for co-ordinating invitations to our VIPs across a range of events;

  • Create persuasive invite copy relevant for a senior audience
  • Invite VIPs to our events via a combination of emails and telephone calls
  • Respond to VIP questions and queries
  • Register comps and VIPs on registration platforms where required
  • Effectively manage outreach to ensure follow up emails / calls are conducted in a timely manner
  • Regularly add new VIPs to your data pot from a combination of your own research, Leaders produced content and information shared internally
  • Regularly update salesforce with contact changes in job titles / organisations to maintain an accurate database
  • Provide weekly reports on numbers and progress on targets
  • Work closely with other teams including sponsorship, delegate sales, content and marketing to leverage existing VIP relationships across the business in order to hit KPIs

Requirements

  • Acute attention to detail around written copy including strong communication skills including attention to detail in spelling and grammar
  • Excellent oral and written communication skills
  • Strong organisational skills with the ability to prioritise and manage multiple projects simultaneously
  • Experience in events or audience engagement is beneficial but not essential
