Senior Wedding and Events Manager

We are an award-winning country house and family run wedding and events venue on the borders of North Wales, Shropshire and Cheshire. We host many wonderful weddings and parties for our clients and numerous ‘in-house’ events such as supper clubs, restaurant nights and interesting culinary and cultural events and we have a rare and exciting opportunity to join our fun and lively team.

We are looking for an energetic person who will play a critical role in our business. They will lead and inspire the Wedding and Events Coordinators and work with all departments, crucially the operations team and the owners, but also garden, maintenance, housekeeping, marketing and accounts to create the most wonderful and perfect events.

The job will mean supporting clients through the planning of their wedding, party, or event and ensure your team are doing the same. You will need creativity, an exceptional eye for detail and very high standards. You will need to be approachable but a strong and inspiring leader for your team, a great manager, problem solver with a huge passion for weddings, events, and hospitality. You will be able to instil confidence in your couples and the team and have a passion for weddings, parties, food and fun!

Sales is a vital part of this role and experience and skill in this area is essential. You will need to monitor the performance of your team and offer advice on how to improve selling and upselling.

This role will require you to be very well organised, good at problem solving, and to keep a cool head under pressure. A flexible attitude and an excellent eye for detail is also vital for the role.

There is no doubt that this role will involve hard work and require energy but will be tremendously rewarding to the right candidate. Strong previous experience with running weddings and a real passion for the hospitality industry is vital for this role.

Key duties and Responsibilities

You will be reporting to and working with the owners of the business.

The Wedding and Event Coordinators will be reporting to you.

You will be working closely with the Food and Beverage Team, who will be reporting to the Food and Beverage Director.

You will make sure you and your team are responding to all enquires within the same day they are received and monitoring that responses and emails are always presented in a professional manner.

You will make sure the Hostology planning software is up to date and your team are using it properly.

Responsible for allocating weddings to your team and running a proportion of them yourself.

You will allocate other non-wedding events between your team fairly.

You will be responsible for ensuring your team are managing the following responsibilities to the required standard and undertaking them yourself for the events and show arounds you are doing.

Full day coordination to begin before the wedding party arrive until after the first dance.

Checking and readying venue before arrival of wedding party or event clients.

Pre-wedding planning meetings with couples.

Responding to enquiries and client questions.

Working closely with the bar, housekeeping and kitchen departments to ensure all client expectations are surpassed.

Showing potential clients around the venue and securing bookings.

Following up all show rounds.

General admin with clients.

Creating and planning Open Day’s and events.

Create function sheets for each event and be responsible for adding all information as and when it comes in.

Making sure all dietary requirements are recorded, and the F & B Manager and kitchen team know about them.

Organising tasting events and menu choices with client.

Obtaining all menu information, dietary requirements by the various deadlines.

Coordinating with suppliers and those outside the venue who are involved with the event.

Be responsible for looking after our clients, solving problems, answering queries on a day-to-day basis.

To ensure that event details are clearly established and delivered before their arrival, during their stay and after their departure and making sure the staff carry out every detail as the client wanted.

Explore all opportunities to upsell food and drinks options, accommodation, venue hire etc.

Come up with suggestions to enhance the event’s success.

Follow up after an event checking that the client was happy with everything.

Initiative to bring vision and ideas to the business.

Committed to learning about our guests to make their experience personal.

Learning and using our planning software Hostology.

Qualifications

Computer literate

Pass in English and Maths GCSE as a minimum

Experience/Knowledge

Previous experience of effectively managing large scale banqueting events and/or weddings, or some previous experience within hospitality is desirable.

Admin/computer experience.

Previous experience in customer service is essential.

Skills/Abilities

  • F&B hospitality experience would be useful, an eye for detail essential
  • Computer literacy essential- we use Apple Computers so knowledge of that would be good.
  • A strong aptitude for sales
  • Ability to deal with sensitive information with discretion and to always maintain confidentiality.
  • Excellent team working skills with the ability to work collaboratively and co-operatively with colleagues.
  • Prepared to work evenings, weekends, and shift patterns that the business requires.
  • Gregarious, diplomatic and the ability to work under pressure.
  • You will need to hold a driving license and have your own car as public transport connections are almost non-existent.

Salary, hours and other

This is a full-time role (i.e. 5 days a week). The number of hours vary between 40 and 50 a week as the business requires and this is what you will be contracted for.

  • Starting salary will depend on experience with a minimum starting salary of £33,000 per year.

  • You will be supplied with a company computer.
