Job Summary
Supporting Creative Services functional excellence by assisting the smooth triage and management of creative and digital projects, budget tracking, departmental and business processes and initiatives. The Associate Creative Services Manager helps ensure efficiency and productivity by management of systems, databases and standard operating procedures for Creative Services teams and leaders. An excellent communicator, the Associate Creative Services Manager forges strong internal and external relationships and applies problem-solving, procurement and administrative skills to smooth department operations.
Essential Duties & Responsibilities
Administrative Support
- Coordinating consistent and effective supplier management in collaboration with the Creative Services Managers and Digital Leads, including conducting appropriate risk assessments and due diligence
- Maintaining freelancer relationships and availability tracking
- Supporting freelancer coordination and approvals processes, generating Purchase Orders and checking invoice approvals, including arranging project briefings when required
- Assisting Senior Leadership in financial and utlisation reporting across the team, supporting optimisation efforts and intercompany charging processes
- Supporting Senior Leadership and Creative Services Management with the development of processes and communications in support of project delivery or team operations
- Supporting the effective onboarding and integration of new starters, providing training on Central Services processes and standard operating procedures
Creative Services Management Support
- Assisting in management of incoming requests as required, coordinating with Creative Services Management and Digital Leads on next steps
- Holiday cover and ad-hoc triage and coordination of creative and digital resourcing requests at peak times, helping to ensure efficient and cost-effective use of available in-house resources and appropriate freelance use
- Flagging budget issues/out of scope work to delivery teams and Senior Creative Services Director in a timely manner
- Maintaining awareness of team capacity and helping to facilitate effective workflow planning by arranging or attending relevant resourcing or kick off meetings as required
- Maintaining triage and scheduling systems, including keeping job briefs, deadlines, budgets, and other relevant information up to date
- Helping to maintain excellent relationships and smooth two-way communication with account teams to ensure service levels remain optimal and services evolve in line with business needs
- Championing creative services processes and acting as a source of information on these processes for colleagues
- Helping to identify areas of improvement in Central Services processes and ways of working, and suggesting new initiatives to reduce inefficiencies
Experience, Skills, and Qualifications
- Educated to degree level or equivalent
- Experience of working with financial systems, POs and invoice approvals
- Resource management or account management and administration experience within medical communications or a related field
- Proficiency in MS365, including Sharepoint, PowerPoint, Word, Outlook, and Adobe Acrobat, with a high level of competence in Excel for finance/budget tracking
- Understanding of creative services and delivery of creative or digital projects advantageous
- Ability to multitask and prioritise, with excellent time management and organisational skills
- Ability to work independently and as part of a team
- Ability to confidently and effectively interact and negotiate with a variety of stakeholders
- Excellent written and verbal communication and interpersonal skills and the ability to communicate effectively across a variety of platforms
- Understanding of change management and/or ability to manage workflow systems and processes is desirable
- An interest in learning and growing skills within Creative Services
