Petroassist UK Ltd is part of the Petrotec Group of Companies. We are a nationwide sales, service and installation business, selling and maintaining a range of forecourt equipment including Fuel Pumps, EV Charging, Payment Terminals, Tank Gauges, EPOS, Car Wash & Valeting and other ancillary equipment.
Summary
The Contracts Administrator (Finance) is responsible for liaison and coordination of extra to service contract works and service type projects. This role includes but is not restricted to external and internal customer liaison with regards to extra to service contract works, service type projects, coordinating these works from initiation through to provision of information for effective invoicing.
Responsibilities
- Liaising with key account customers on extra to contract works requests ensuring sufficient information is available to enable works to be quoted, updating customers on progress status chasing for financial submissions and ensuring satisfactory work completion to enable effective invoicing.
- Initiating quotations & tenders that will involve discussions to agree best pricing with subcontractors being obtained.
- Post Quote approval moves to service
- Liaise with Finance team on service 'extra to contract works and service ‘projects’ ensuring adequate information to ensure invoicing can proceed to meet business deadlines and aged calls are closed down.
- Reviewing and reconciliation of contract and extra to contract calls to ensure correct treatment
- Ensuring correct values are entered into SV Orders and customer systems where applicable
- Trend analysis to track ‘extra to contract’ works
- To be the go-to person for understanding customer contracts, what’s included what’s not.
- Weekly reporting on the number of closed calls, both contract and extra to contract to enable short term forecasting
- Understanding ‘Quotes Outstanding’
Requirements
- Self-motivated & able to work unsupervised within a strong cohesive team.
- Ability to prioritise work to ensure key milestones and deliverables are met.
- Strong oral and written communication skills.
- Strong customer interface skills.
Qualifications
- A good general sound education with the qualifications in maths and English.
- Applicants must have at least 4 years’ experience of working within a service/administration environment and have good communication skills.
- Proficient in MS Office packages - advanced user of Excel
