Job Overview
We are seeking a dedicated and detail-oriented Office Administrator/Legal Secretary to join our team. The successful candidate will play a crucial role in supporting our legal professionals by managing administrative tasks, ensuring smooth office operations, and facilitating effective communication within the firm. This position requires strong organisational skills, proficiency in office software, and the ability to manage time efficiently.
Responsibilities
- Provide comprehensive administrative support to legal professionals, including managing calendars and scheduling appointments.
- Draft, proofread, and format legal documents, correspondence, and reports with a high level of accuracy.
- Manage filing systems, both electronic and paper-based, ensuring all documents are organised and easily accessible.
- Conduct audio typing of legal dictations and transcribe documents as required.
- Assist in the preparation of case files and maintain up-to-date records for ongoing cases.
- Communicate effectively with clients, colleagues, and external parties to facilitate information exchange.
- Attention to detail and accuracy in document preparation
- Familiarity with legal terminology and procedures
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong written and verbal communication skills
- Support IT functions within the office by troubleshooting basic technical issues related to office equipment.
- Ability to prioritise tasks and work under pressure
- Discretion in handling confidential information

Experience
The ideal candidate will possess:
- Proven experience in an administrative role, preferably within a legal environment.
- Strong proficiency in Microsoft Office Suite (Word and Excel) is essential.
- Excellent time management skills with the ability to prioritise tasks effectively.
- Exceptional organisational skills with keen attention to detail.
- Strong communication skills, both written and verbal, enabling effective interaction with various stakeholders.
- Experience in audio typing and LAMS is highly desirable but not mandatory.
