The London office of Arnold & Porter has an opening for an Accounts Assistant in the Finance & Accounting Department. The Accounts Assistant is a key role to ensure all disbursements and vendor invoice for the international offices are performed accurately and on time. This position will be expected to communicate with Arcs, partners, employees, and the accounts team. Additionally, this role is a key point of contact for posting, and payment of disbursements, along with vendors for all the international offices.
Responsibilities include but are not limited to:
- Processing all disbursements into Emburse for approval and exporting disbursements from Emburse to Aderant once approved.
- Monitoring of the firms approval queues in Emburse and sending weekly open approval reminders.
- Setting up vendors for disbursements.
- Co-coordinating all third party currency invoices to be sent to global exchange and posting into the upload file that returns into Aderant.
- Posting all postage, catering and taxi recharges.
- Uploading all international office invoices at the end of the month and processing of the cash receipts received in the international office.
- Processing bank reconciliations for international offices.
- Processing daily payment runs: ensuring any Not Yet Paid Disbursements included in bills to clients that have been paid are paid out on the day of receipt or day after.
- Sending remittances for counsel fees paid and requesting VAT receipts from counsel.
- Answering queries from vendors about the status of disbursements.
- Answering client requests for bank details.
- Processing and paying international office expenses and BYOD payments.
- Posting international office Biweekly partner draws.
- Arranging urgent payments (and cheques).
- Preparing annual PSA.
Qualifications:
- Desired experience of working in a Global Law Firm.
- Proficiency in Windows operating systems and Microsoft Office Suite and/or related software as well as Adobe PDF converter for creating and editing PDF documents.
- Desired experience of working knowledge of Emburse (formerly Chrome River) and Aderant.
- Experience uploading payments on bank and identifying errors and resolving the errors.
- Desired knowledge of international VAT rules.
- Ability to prioritize and manage time effectively.
- Possess reliability, dependability and motivation.
- Excellent organization and communications skills, both oral and written.
- Ability to work in a fast-paced environment while exhibiting a strong attention to detail.
- Ability to handle a variety of tasks simultaneously.
- Exceptional client service both internal and external.
