Main Purpose
We are looking for a PMO (Project Management Office) Analyst to join the Programme Management Team on a fixed term contract basis until December 2025. This role will be based in Doncaster or Crewe with occasional UK travel required to support projects and hybrid working is available. This role is primarily to support Project Kings (movement to a new facility in Doncaster) and provide additional support to the team with other programmes of work and deliverables across the business which is expected to last 9 months.
In this role, you will be responsible for tracking programme deliverables and milestones, reporting project and portfolio KPIs, supporting project lifecycle adoption, coordinating risk and issue management, and monitoring projects transitioning to normal service. You will also oversee regular project reporting, governance arrangements, Post Project Reviews, and Programme workshops and assist the Head of Programme Management with defining processes and standards, supporting Project Managers on large projects, contributing to Quality Reviews, and coordinating activities to meet quality objectives.
Person Specification
We are looking for someone who is degree qualified (or with equivalent experience), ideally in a Project Management or Engineering discipline who is capable of building strong, strategic relationships with both internal and external contacts, and has a solid understanding of programme management planning tools and techniques. The ideal candidate will be customer-focused, team-oriented, determined, accountable, and results-driven, with a self-starter attitude who takes ownership of problems and implements effective solutions. A keen eye for detail, excellent organizational skills, and a focus on embedding quality into the project delivery process are essential. Strong networking and influencing skills, along with an understanding of risk, issue, and opportunity management, will be critical to success in this role. You must uphold the highest ethical standards in all dealings and transactions, demonstrate sound financial acumen, and be proficient in Microsoft and Google software packages. Excellent communication and interpersonal skills are required, along with the ability to manage time effectively to ensure projects meet customer deadlines. A valid driving licence is also necessary.
In addition, the following qualifications and experience are desirable: a formal Project Management qualification (such as PMI, APM, or PRINCE2), previous experience in a PMO role, and knowledge of the rail industry, engineering, or a similar technology sector.
Duties & Key Responsibilities
- Implement governance standards across the portfolio, including tracking, monitoring and updating the status of programme deliverables
- Manage programme level Lessons Learned repository; attend Post Project Review meetings to identify key areas of improvement to be captured into the Lessons Learnt repository
- Manage the programme level risks and issues register
- Carry out assurance review processes as required
- Liaise with the PM Department to ensure standards are implemented consistently across Unipart
- Organise workshops to identify areas of improvement for projects, documenting recommendations and presenting them to the Head of Programme Management
- Build up a repository of project templates both technical and management to support the Project Managers - use examples from current and past projects to identify best practice
- Continue to evolve the processes and templates throughout the project lifecycle
- Implement project standards across all projects in the portfolio
- Update and administer the programme plan as required using reports from Project Managers and the outcomes of project and board level meetings and workshops
- Manage communications from the PMO mailbox including regular reporting cycle requests.
- Prepare consolidated material from project reports for monthly review
- Complete and distribute monthly portfolio level reports
- Support implementation of the quality strategy, including any processes and templates, across all projects
- Implement the change control process across all projects and portfolio
- Fostering a collaborative work environment among project teams and stakeholders
