The Kingscote Barn is an award-winning family run wedding and events venue with unique accommodation set in a stunning Cotswold countryside location.

About the Role

As a Wedding & Events Coordinator you will be responsible for ensuring your events run smoothly and exceeds your clients’ expectations

This is a hands-on role and guaranteed to be different every day. You will be working very closely with our housekeeping team and catering partners.

This role is 5 days a week including weekends on a rota basis. Working hours are usually 9-5.30pm including some evening shifts.

Your Key Responsibilities

Events planning and coordination

  • Working closely with clients to understand their vision, requirements and preferences for their wedding or event
  • Managing event schedules, timelines, supplier relations, ensuring all details are well organised
  • Overseeing event set ups and on the day coordination, ensuring all elements run smoothly from start to finish
  • Deal with any issues that arise promptly and professionally

Sales

  • Arranging and conducting viewings of the venue and accommodation
  • Ensuring conversion of enquiries to confirmed bookings
  • To hit sales targets, you will need to be creative and flexible when discussing options with potential customers
  • Taking event bookings and room reservations using CRM systems

Client Communication

  • Be the main point of contact for couples, responding promptly to emails, calls and in person enquiries. This includes preparing function sheets, invoicing and helping clients plan their event
  • Advising clients on wedding & event planning, trends and recommendations for suppliers
  • Ensuring clients’ needs and expectations are exceeded throughout the planning process

Supplier management

  • Sourcing and coordinating suppliers ensuring excellent service
  • Planning pre event set up timings and post event collections

Post Event follow up

  • Conducting post event evaluation with clients to gather feedback and ensuring total satisfaction
  • Handling all necessary follow up tasks post event
  • Recording and resolving any issues that occurred during the event

You will need:

  • A passion for delivering exceptional customer service and creating memorable experiences
  • A degree in events management/hospitality or at least 2 year 's previous experience in hospitality or events with wedding experience desirable
  • Strong communication skills
  • A flexible attitude and the ability to manage multiple tasks under pressure
  • Excellent organisational skills and impeccable attention to detail
  • Be a confident sales person
  • Be polished and professional in your appearance
  • You should have good IT skills
