The Cavalry & Guards Club is a Private Members Club representing history, tradition, timeless elegance and quiet efficiency plus that all important personal touch. This gracious building, more a home than an institution, is situated at the Hyde Park corner end of Piccadilly, in the heart of Mayfair, with wonderful views of Green Park.

Job Title: Event Coordinator
Location: Cavalry and Guards Club, 127 Piccadilly, London, W1J 7PX
Reports To: Club Secretary

Key Responsibilities:

  • Work directly with members to plan, organise, and deliver a wide range of events, ensuring that each event is tailored to meet their individual preferences and expectations.
  • Serve as the main point of contact for members booking events, offering professional advice and tailored recommendations to ensure their needs are met.
  • Build strong, professional relationships with members, ensuring that their expectations are exceeded and every aspect of their event is handled with care and attention to detail.
  • Supervise the set-up and breakdown of big events such as weddings, ensuring all requirements are met and spaces are prepared to the highest standards.
  • Be on-site during big events to manage operations, address any issues or member/ guest requests, and ensure everything runs smoothly.
  • Work closely with the Banqueting team to ensure event spaces are presented immaculately and are set up according to the event specifications.
  • Maintain accurate records for all events, including guest lists, event proposals, invoices, and post-event reports.
  • Handle RSVPs and correspondence with members in a timely and professional manner.
  • Assist with the preparation of event documentation, such as budgets, timelines, and event proposals.
  • Work within agreed event budgets, ensuring costs are tracked and managed effectively.
  • Assist with invoicing and payment processes for events, ensuring all charges are correct and fully accounted for.
  • Collect feedback from members following each event to evaluate success and identify areas for improvement.
  • Prepare post-event reports, highlighting successes, challenges, and any follow-up actions required.
  • Attend HOD daily morning meetings.
  • Contact members to organise special events for milestones such as significant birthdays and anniversaries.

Qualifications & Skills:

  • Previous experience in event coordination or hospitality, ideally within a private members’ club, high-end hotel, or similar luxury service environment.
  • Excellent interpersonal and communication skills, with the ability to engage with members and colleagues professionally and with confidence.
  • Strong organisational skills, with the ability to manage multiple events at once and deliver exceptional results under pressure.
  • Keen attention to detail and a passion for providing high-quality service that exceeds expectations.
  • Excellent problem-solving skills and the ability to respond quickly and effectively to any issues that arise.
  • Proficiency in event management software.
  • A high level of discretion and professionalism, with a thorough understanding of the importance of confidentiality within a private members’ club.
  • Flexible and adaptable, with the ability to work evenings, weekends, and beyond standard working hours as necessary for event schedules.

Pay: £28,000.00-£34,000.00 per year
