Role Overview:

Salary is based on 25,500 per annum ( pro rata )

We are seeking a highly organised and proactive Part-time Resourcing and Customer Support Administrator to join our team at Health Academy. In this role, you will provide support to the Clinical Standards & Placements Manager in various tasks related to resourcing and quality assurance. Additionally, you will provide outstanding customer service while coordinating the resourcing and scheduling of freelance clinical instructors. You will ensure that the right freelance instructors are allocated to meet the company’s operational and quality needs, while also maintaining high standards of service for clients and healthcare providers.

Key Responsibilities:

  • Freelance Resource Planning & Allocation:Work closely with clinical managers and teams to allocate freelance instructors as per operational requirements. You will ensure that staffing needs are met efficiently and that freelance instructors are scheduled appropriately to meet service needs.
  • Operational Support: Provide support with day-to-day operational tasks related to the resourcing of freelance clinical instructors. This includes managing freelancer availability, handling scheduling conflicts, managing diaries, calendar invites, and ensuring that resource requirements are filled promptly and efficiently.
  • Communication with Freelance Clinical Instructors and External Partners: Maintain clear and professional communication with freelance instructors, ensuring that they have the information and support needed to deliver high-quality service. You will also liaise with external partners to ensure smooth collaboration and align with the company’s service delivery objectives.
  • Administrative Support: Assist with general administrative duties, including maintaining records of freelance instructor availability, preparing reports, handling correspondence, and managing data related to freelance clinical instructors.
  • Freelance Recruitment Support: Assist with the recruitment process for freelance clinical instructors by posting job advertisements, reviewing CVs, coordinating interviews and administration associated with onboarding.

Additional Responsibilities: The Company reserves the right to modify your duties and responsibilities as necessary to meet the changing needs of the business.

Skills and Qualifications:

  • Proven experience in a customer support or administration role, ideally within a clinical or healthcare environment
  • Strong organisational and administration skills, with experience in scheduling and managing resource
  • Excellent communication skills, both written and verbal, with the ability to engage with freelance professionals and clients
  • Proficiency in organising and managing data, and good use of Google Workspace
  • Ability to multitask and manage multiple priorities in a fast-paced environment
  • A proactive, problem-solving approach with great attention to detail
  • Ability to manage sensitive data while ensuring confidentiality

Desirable Attributes:

  • Experience working with freelance staff or within a healthcare or clinical setting
  • Knowledge of scheduling or resourcing tools and software
  • Ability to work independently and manage your time effectively in a remote role
  • Strong attention to detail, especially when managing schedules and diaries
  • A flexible, adaptable attitude with the ability to thrive in a fast-paced, dynamic environment
  • Proactive in identifying potential issues and offering solutions
  • Positive, team-oriented approach to work, with a willingness to support colleagues and contribute to team success
