ABOUT THE ROLE
The Client Services Administrator is part of the Business Support team and handles a variety of supporting tasks within the Onboarding and Client Management teams. This key role sits alongside both teams and requires interactions with both internal and external customers, as well as various national tax authorities.
Applying attention to detail, you will consistently strive to achieve the best outcomes for our clients and the team. This is an exciting role that will enable you to work collaboratively with colleagues and clients and ensure that our clients remain fully VAT compliant and that our commitment to excellent customer service is upheld.
What You 'll Do
o Communicate directly with clients to request, collect and validate VAT-related data and documentation.
o Ensure client data is accurately recorded, stored and forwarded to the appropriate team member within the required timeframe.
o Upload payment memos and VAT submission confirmations to the client portal, ensuring timely and accurate record-keeping.
o Liaise with tax authorities around the world.
o Assist with deregistration and rescinding of Powers of Attorney (POAs).
o Answer the switchboard, transfer calls and take and forward on messages promptly and accurately.
o Submit VAT returns to multiple tax authorities.
o Work with the Client Manager and Onboarding team to ensure compliance.
o Monitor and manage the admin inbox, ensuring emails are correctly categorised, forwarded, and stored.
o Be part of a team responsible for meeting strict VAT return submission deadlines.
o Handle incoming and outgoing post for the Company, including scanning, saving and forwarding selected documents to clients and relevant stakeholders within the required timeframe.
o Assist with translation of documents using online tools, ensuring accurate and efficient processing.
o Maintain up-to-date and accurate client records in the CRM system.
o Submit backdated VAT returns and corrections.
o Carry out ad-hoc admin tasks as required (e.g. completing bank account detail forms, preparing cheque request letters, etc.).
o Assist with internal audits and data quality checks, ensuring compliance with internal policies and regulatory requirements.
o Hybrid working - minimum of 3 days per week in the Hove office.

What You 'll Need
o Demonstrated ability to readily follow defined systems, procedures and protocols
o Written and spoken fluency in Czech (desirable)
o Proven ability to take full ownership of tasks and deliverables
o Proficient in the use of Office365
o A strong willingness to learn and adapt in line with business needs
o Good interpersonal and all-round written and verbal communication skills
o Calmness under pressure, with exceptional time management and organisation skills to achieve priority results and work to tight deadlines in a fast-paced environment
