Job Title: Assistant Medical Administrator
Location: Fully Remote
Hours: Full-time (35 hours per week, Monday - Friday 9am - 5pm)
Salary: £21,800
Contract Type: Permanent
About the Role
We are looking for an organised, compassionate and detail-oriented Assistant Medical Administrator to join our growing remote team at Designated Medical.
You’ll play a vital role supporting our Medical PAs and clinicians, helping us deliver a seamless, professional, and caring experience for patients.
This will be a busy role, and you will learn multiple different Practice Management Systems as well Phone and client billing systems.
What You 'll Be Doing
As an Assistant Medical Administrator, your day-to-day tasks will include:
- Phone & inbox support
- Monitoring inboxes and actioning patient and consultant queries professionally and promptly
- Answering incoming calls, triaging enquiries, and either resolving them directly or passing them on to the relevant team member
- Appointment booking & admin
- Booking patient appointments using Practice Management Systems (PMS) and updating records accurately
- Liaising with hospitals and clinics to coordinate bookings
- Supporting consultants with day-to-day administrative tasks as directed by the PA team
- Medical correspondence
- Typing and formatting letters from audio files or draft text
- Uploading documents to the appropriate PMS and sending them securely to patients or third parties
- Results & record keeping
- Downloading and uploading test results and reports
- Maintaining accurate and up-to-date records across systems
- Ensuring internal information such as passwords and guides are stored correctly and securely
- Team support
- Supporting the wider team with ad hoc admin tasks
- Covering for Medical PAs when required
- Ad-hoc support to our billing team.
Who We 're Looking For
You’ll be a great fit if you have:
- At least 1 year of experience in a medical administrative or medical receptionist role (essential)
- A polite and confident telephone manner with excellent communication skills
- Strong attention to detail and ability to manage multiple tasks calmly and efficiently
- Experience working with Practice Management Systems or patient databases is desired but full training will be given
- A proactive attitude and willingness to learn and adapt
- Confidence using cloud-based tools and picking up new systems quickly
- A genuine desire to provide excellent service to patients and consultants
