North Bristol Private Hospital has a dedicated, in-house operating theatre, minor ops suite, outpatients’ facilities and inpatient ward with only three overnight beds, so each patient will be an individual rather than a number and will provide an excellent environment for surgeons and clinicians to operate.
Close to M4 junction, this allows easy access from Wales and the Midlands. We purposely ensured North Bristol Hospital is in a quiet, secluded part of the city to reduce the stress of travelling by car.
The Role
We are looking for a Private Hospital Patient Booking Administrator to oversee the scheduling and coordination of patient appointments, consultations, and surgical bookings for cosmetic procedures. This role is crucial in ensuring a smooth and efficient patient journey, from initial inquiry to post-surgical aftercare.
This is a full-time position (40 hours per week, Monday-Friday), with participation in a 1:5 on-call rota and potential future weekend cover (1:4). The weekly hours are fixed, though the working hours may vary over the week to ensure sufficient team cover for surgical lists and clinics. These are confirmed in advance.
Key Responsibilities
Patient Booking & Coordination
- Manage all aspects of the patient booking process, ensuring a seamless experience from consultation to surgery.
- Schedule initial inquiries, consultations, pre-operative assessments, and surgical appointments with precision.
- Oversee, reply to and record all enquiries across various social media and online platforms.
- Work closely with consultants, surgeons, and medical staff to optimize scheduling and operating theatre efficiency.
- Monitor appointment availability and manage cancellations or reschedules promptly.
Patient Experience & Support
- Act as the first point of contact for patients, providing exceptional customer service.
- Offer clear and reassuring information on procedures, pre-operative requirements, and post-surgical care.
- Liaise with patients throughout their journey, ensuring they feel informed and supported at every stage.
Administrative Duties
- Maintain accurate patient records in line with GDPR and confidentiality regulations.
- Process bookings, invoices, and payments, ensuring accurate billing and financial tracking.
- Assist with credit control, ensuring all patient accounts are up to date.
- Liaise with insurance providers or finance teams regarding patient payment plans.
- Manage onward referrals for additional treatments, diagnostics, or follow-up appointments.
Operational Efficiency
- Ensure all booking systems and patient databases are used effectively.
- Work closely with the Private Practice Manager and Hospital Operations Manager to review performance against targets.
- Support reception and front-of-house services as needed, ensuring a welcoming environment.
- Coordinate diary management for consultants and surgical teams.
- Assist with promotional events and patient engagement initiatives outside of regular hours when necessary.
- Being available alongside the Practice Manager and Clinic Operations Manager for occasional information events outside of normal working hours to actively promote the clinic within the local area.
- Oversee coordination of and cover for holidays and other absences.
- Effectively manage own time, workload and resources with the support of the practice manager.
Essential Requirements
- Experience in private patient coordination, ideally within a cosmetic surgery or private healthcare setting.
- Familiarity with private surgical pricing structures, invoicing and processing payments.
- Strong administrative and secretarial skills, with experience handling surgical bookings, including enquiries, queries and aftercare concerns.
- Excellent verbal and written communication skills, with a patient-focused approach.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Experience using private healthcare software (e.g., DGL, Pabau, or similar systems).
- Knowledge of GDPR and patient confidentiality protocols.
- A proactive, problem-solving mindset with the ability to work independently and within a team.
- Demonstrable experience of working in a small, close-knit team, supporting private paying patients.
- The role will be subject to a DBS/criminal convictions check.
Renumeration
- £32k-£35k per annum, depending on experience.
- Bonus structure based on key performance indicators (e.g., consultations booked, surgeries scheduled).
