Overview
Newark Town Council is seeking a Weddings and Events Coordinator to organise and deliver the weddings and events bookings in the Town Hall. This role will ensure that all Newark Town Hall functions and events are organised, set up and operated to a high standard, supervising, when necessary, the front of House Team at events.

The role is ideal for an enthusiastic and organised individual, a team player, who has the skills and personality to assist the Town Hall Venue Manager in organising and delivering high-quality events and weddings. Offered initially on an 18-month fixed-term contract, 30 hours per week, subject to successful enhancement of the potential of the facility, the role is likely to be made permanent and/or full-time. This role would suit a commercially minded candidate with a strong background in organising and delivering flawless weddings and events to the highest standards.

Responsibilities

  • To assist the Front of House Manager on the delivery of all Town Hall events, stepping in as Supervisor when the FOH Manager is unavailable.
  • Ensure that the customer service standards are in line with the Venue Manager’s expectations.
  • Coordinate staff rotas for functions including set up of rooms, delivery of refreshments and catering, and then communicate to the teams when required.
  • Assist the Venue Manager with event administration, including signage, room layout, and health & safety checks.
  • Help co-ordinate logistics of venue hire operations, including assisting with room set-ups.
  • To be an active member of the venue’s front of house team supporting bookings and events taking place in the venue.
  • To support the Council in the administrative and financial management of all events and functions taking place in the Town Hall, including those of a non-commercial nature such as Civic Events
  • To support the Council in the administrative and financial management of events and functions that the Council delivers but which may not always take place in the Town Hall.
  • Undertake any other responsibilities required within the scope of the role required by the Town Clerk and Management Team
  • Assist with taking sales enquiries when the Venue Manager is not available and booking in show rounds.
  • Working with the Venue Manager to build a marketing plan and assist with social media and website updates as required.
  • Conduct client meetings and advise on operational overview as required.
  • Be commercially minded and seek to maximise all sales opportunities and to bring forward ideas.
  • Complete post event follow-ups, share, communicate and act upon relevant customer feedback.

Qualifications

  • Good general education: 5 GCSEs or equivalent, including Maths and English. High level of literacy and numeracy
  • Excellent communication skills, both verbal and written, to liaise effectively with clients and vendors.
  • A Health & Safety, COSHH, Food Hygiene, or any other relevant qualification, or a commitment to achieve whilst in post. A first aid qualification.
  • Excellent verbal and written communication skills, including an ability to relate to and communicate with a wide range of stakeholders. Proven track record of conversion and delivering well-organised events through to execution on the day.
  • An individual who is a great team player but can also work from their own initiative.
  • A reliable and responsible individual with great flexibility.
  • Organised and self-motivated by nature. Excellent interpersonal skills and enjoys working with clients on a daily basis.
  • Reliable, enthusiastic, and adaptable. Willingness to support the business during key operational periods. Supporting the successful end-to-end events process for the client.
  • Demonstrated ability in guest services and understanding client needs.
  • Time management proficiency to ensure timely delivery of all aspects of the event planning process.
  • A creative mindset with attention to detail in all planning stages.
  • Experience producing press and marketing materials. Previous experience producing and uploading website content.

Job Type: Part-time

Pay: £28,624.00-£29,572.00 per year
