Job Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. In this role, you will play a key part in ensuring the smooth day-to-day running of our office by providing vital administrative support to the business, Grower Members and management team. The ideal candidate will have strong communication skills, a high level of accuracy, and the ability to multitask in a busy environment.
Training will be provided.
Main duties and responsibilities:
- Provide full administrative service to the business, Grower Members and the General Manager/Office Manager.
- Provide reception duties and first point of contact for both internal and external customers, suppliers and visitors.
- Respond to grower enquiries, exchanging information, communicate monthly grower reports, circulate group prices, and ensure that queries are dealt with in an efficient manner.
- Assist Office Manager with processing and generating supplier/customer quotes and invoicing, including payments of weekly fruit sales, in a timely manner and providing key information to growers and packhouses.
- Assist with permanent and seasonal staff payroll, ensuring payments are processed accurately and on time whilst maintaining compliance with all company and statutory policies and procedures surrounding data security, including but not limited to, the handling of personnel files and eligibility to work information.
- Assist Office Manager with various bookkeeping tasks within Sage50 Accounts, including processing invoices and maintaining financial records, ensuring all transactions are recorded accurately and efficiently.
- Support the Office Manager with credit control activities, including sending out monthly statements, tracking outstanding payments, and following up to ensure timely payments are received.
- Administer and update the company website and intranet site, including providing growers with database training/assistance in locating key information.
- Provide General Manager/Office Manager with member communications and marketing/awareness support.
Skills and Experience :
Essential:
- Strong organisational skills with the ability to prioritise tasks effectively.
- High level of accuracy and attention to detail in data entry, financial records, and administrative tasks.
- Confident handling invoicing, basic bookkeeping, or financial admin tasks.
- Excellent written and verbal communication skills with strong phone and email etiquette.
- Ability to work independently as well as collaboratively within a team.
- Friendly, professional, and flexible approach to supporting a diverse range of stakeholders.
Desirable:
- Experience as an office administrator or in a similar role.
- Proficiency in Microsoft Excel and other Microsoft Office applications.
- Working knowledge of Sage 50 Accounting and Payroll.
- Familiar with Microsoft Teams and SharePoint.
- Experience with Scottish Agriculture Wages.
Job Type: Full-time
Pay: £20,000.00-£25,000.00 per year
