Event/Music/TV & Film/Theatre Entertainment Transport Company

The ideal candidate will be well-organized and comfortable dealing with basic office face-to-face administration within a busy transport office. They should be excellent at recording data and tracking expenses, budgets, taxes, and receipts. You will work with the Managing Director, General Manager, bookkeeper, and operations team/drivers.

You will need to be a proficient communicator with good organizational skills who will be comfortable dealing with clients, suppliers, and our driving team via telephone, email, and face-to-face. Qualifications: 10+ years of experience in related fields, proficiency in Microsoft Office suite, and analytical skills. You will need to be organised and demonstrate at least 5 years continuous employment in one company.

Key Responsibilities

  • Coordinating office activities and operations to secure efficiency and compliance to company procedures
  • Dealing with phone and e mail enquiries
  • Maintaining records. Using Microsoft Office
  • Scheduling and attending meetings, creating agendas and taking minutes
  • Organising travel and accommodation for staff
  • Diary management
  • Liaising with staff in other departments and with external contacts
  • Ordering and maintaining stationery and equipment
  • Organising and sending outgoing post
  • Organising and storing paperwork, documents and computer based information
  • Administration of financial reporting/invoicing/expenses
  • Project administration including raising Purchase Orders.

Skills, Knowledge and Expertise

  • Ideally this person will have at least 10 years Admin experience.
  • Strong organisational skills
  • Excellent communication skills
  • Tact, discretion, and respect for confidentiality

The role will be full time. English Language is a main requirement. We are looking for someone with experience, local to the area.
